Generative AI for business: practical use cases, costs and how to start safely
Key takeaways
  • Pick one repetitive, text-heavy process with a clear owner and measure time saved.
  • Retrieval-augmented generation (RAG) lets AI answer from your own documents instead of guessing.
  • Keep a person in the loop for anything sent to customers or affecting money.
  • Decide early what data may leave your systems and choose providers accordingly.

Generative AI – the technology behind ChatGPT, Claude and Gemini – can draft, summarise, classify and answer questions in seconds. For businesses the question is no longer whether it works, but where it pays off and how to use it without risking customer data or accuracy.

How business AI systems are built

Most useful business AI is not a chatbot bolted onto a website. It is a workflow: data comes in (an email, a PDF, a form), the model does a specific job, and the result goes to a person or another system. The key building blocks are:

  • Retrieval-augmented generation (RAG): the system searches your documents and gives the model only the relevant passages, so answers are grounded and can cite their source.
  • Structured outputs: the model fills defined fields (amount, date, category) that your software can trust.
  • Tool use: the AI can look up an order, create a ticket or schedule a meeting through your APIs.
  • Guardrails and review: rules on what it may say, and human approval where it matters.

What it costs

Costs have two parts. Building the integration – connecting data, designing prompts, testing and user interface – is a one-time project, often a few weeks for a focused use case. Running it means paying the AI provider per use, which for most business workloads is modest compared with the staff time saved. Start with a pilot, measure the saving, then scale.

Good first projects are boring ones: high volume, text-heavy, rules that a person can explain, and a clear way to check the result.

Protect your data

  1. Use business or API plans whose terms say your data is not used to train the provider's models.
  2. Send only the data the task needs; mask personal details where you can.
  3. Log what the AI did and keep a person accountable for decisions.
  4. Check obligations under India's DPDP Act and your clients' contracts.

Tinos designs and builds AI-integrated software and AI solutions for businesses in India and overseas – from pilot to production.

Frequently asked questions

Do we need our own AI model?

Rarely. Most businesses get excellent results by connecting a leading model to their own data with RAG. Training a custom model only makes sense for very specialised, high-volume tasks.

Will AI replace our staff?

In practice it removes repetitive work – drafting, copying and searching – so people spend more time on customers and decisions. Plan the change with your team.

How do we know the AI is accurate?

Build a test set of real examples with correct answers, measure the system against it before launch, and keep reviewing samples after launch.
